Do you have the right equipment available at the right time, for the right customer and under the right conditions?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a modern rental company, however, it does not stop there. A rental contract directly affects planning, logistics, invoicing, maintenance, service and ultimately the profitability of the equipment. As an organization grows, these processes become increasingly interconnected.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Good rental software therefore needs to do more than manage reservations and contracts. It should help you stay in control of the entire process surrounding your equipment.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What is rental software?<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Rental software helps companies manage equipment that is temporarily rented out to customers. Think of machinery, forklifts, construction equipment, cranes, material handling equipment or other business assets.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Core functionality typically includes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>availability and reservations;<\/li>\n\n\n\n<li>quotations and rental contracts;<\/li>\n\n\n\n<li>planning and delivery;<\/li>\n\n\n\n<li>returns;<\/li>\n\n\n\n<li>rates and additional charges;<\/li>\n\n\n\n<li>Invoicing.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">For a relatively straightforward rental operation, that may be sufficient.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But once rental becomes part of a broader equipment organization, the picture changes. The same equipment that is rented out today may need to be maintained, repaired, relocated, sold or rented out again tomorrow.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is when the connection between processes becomes increasingly important.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The equipment takes center stage<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Within an equipment company, many business processes ultimately come together around the same equipment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A machine has a purchase value and book value, a technical history, maintenance costs, parts consumption, rental revenue and potentially sales revenue. At the same time, you need to know where the machine is, whether it is available and whether it is technically ready for use.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When this information is spread across different systems, spreadsheets or departments, it becomes increasingly difficult to see the full picture.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is why we approach rental software from the perspective of the equipment itself.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Dysel's <a href=\"https:\/\/dysel.com\/en\/solutions\/equipment-management-software\/\" target=\"_blank\" rel=\"noreferrer noopener\">Equipment Life Cycle (ELC)<\/a> is developed for organizations where equipment plays a central role. It may require an inspection. Maintenance may be scheduled, or a technician may be waiting for parts.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Rental, service and equipment management need to share information. When the technical status of a machine changes, that should be reflected in its availability. Likewise, a planned rental should be visible to the employees responsible for maintenance and service.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Rental, service, and equipment management must be able to share information with one another. When the technical status changes, it must be possible for that to affect availability. Conversely, a scheduled rental must be visible to employees who plan maintenance and service.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That connection is what makes the difference between simply managing rentals and actively managing a rental operation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Contract management and billing are part of the same process<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Even after a rental contract has been signed, there is still a lot to manage.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Contracts may be extended or amended. Equipment may be exchanged. Rates can vary by agreement, and additional recurring charges may apply alongside the standard rental rate.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When these agreements are managed outside the rental contract, organizations can quickly become dependent on spreadsheets, notes or individual employees.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That may seem manageable with a limited number of contracts, but it becomes increasingly vulnerable as the organization grows.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A concrete example is recurring charges. In ELC28, <strong>recurring charges<\/strong> can be included in a rental contract so that agreed periodic charges can automatically return in future billing runs.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/dysel.com\/en\/recurring-charges-rental-agreements\/\" target=\"_blank\" rel=\"noreferrer noopener\">Learn more about recurring charges and how to reduce the risk of missed rental revenue<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The principle behind this goes beyond one feature: agreements should be recorded where they belong and then become part of the regular business process.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>When is standard rental software no longer sufficient?<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Not every rental company needs a complete ERP platform.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Specialized rental software can be an excellent fit when processes are relatively straightforward and the main focus is on reservations, planning and contract management.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That need often changes as the organization grows.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Different departments become increasingly dependent on the same information. Finance needs rental data to flow into the financial administration. Service needs to know when equipment is available. Management needs insight into costs and revenue.
